How to package maintenance tasks for maximum efficiency

|Asset Management, Reliability Engineering

By Jarrod Chesher and Rachel Scott

Repetitive tasks can drain time and resources. By efficiently packaging these tasks, you can reduce repetition and make better use of your resources. In this article, we explore practical methods to group and package maintenance tasks for maximum efficiency.

Understanding maintenance task types

Maintenance tasks typically fall into two categories:

1. Regularly scheduled tasks

  • Tasks performed on a consistent schedule.
  • Examples: Changing the oil in a car or mowing the lawn.

2. As-needed tasks

  • Tasks performed when specific needs arise.
  • Examples: Fixing a broken window or unclogging a drain.

Maintenance packages vs. service packages

The approach to packaging depends on the task type:

  • Maintenance packages: Ideal for regularly scheduled tasks. These include grouped tasks performed together at set intervals.
    • Example: A package for vehicles that includes changing oil, checking tire pressure, and washing.
  • Service packages: Suitable for as-needed tasks. These packages combine tasks performed together when necessary.
    • Example: A package for household repairs that includes fixing a broken window, unclogging a drain, and repainting.

Nine ways to group maintenance tasks

To package tasks efficiently, consider grouping them in the following ways:

1. By task frequency:

  • Group tasks with the same schedule (e.g., a monthly package for changing oil and checking tire pressure).

2. By task type:

  • Combine similar tasks (e.g., a window package that includes fixing and cleaning windows).

3. By task location:

  • Group tasks performed in the same area (e.g., a kitchen package for unclogging drains and cleaning ovens).

4. By resource type:

  • Package tasks requiring the same tools (e.g., all tasks needing a ladder).

5. By resource availability:

  • Bundle tasks that can be completed with shared resources (e.g., a package for tasks requiring a power washer).

6. By worker availability:

  • Group tasks manageable by the same team (e.g., tasks for a two-person crew).

7. By worker skill level:

  • Package tasks needing specific expertise (e.g., tasks requiring a certified technician).

8. By project size:

  • Combine tasks within the same project (e.g., all tasks for a bathroom renovation).

9. By project scope:

  • Bundle tasks connected by project goals (e.g., tasks for building a deck).

There are many ways to group and package maintenance tasks effectively. Whether you focus on frequency, location, resource needs, or skill level, the key is to find a method that works best for your business. Efficiently packaged tasks reduce repetition, optimise resources, and streamline scheduling.
